To strengthen project delivery capacity, UNOPS is recruiting a Project Management Support Associate based in Kampala.

Position Summary

The Project Management Support Associate provides substantive operational and technical support to the planning, coordination, implementation, and monitoring of project activities. Working under the direct supervision of the Project Manager and the overall guidance of the Head of Support Services, the role ensures that project outputs are delivered efficiently, on time, and in compliance with UNOPS policies and donor requirements. The position plays a key role in coordinating procurement, logistics, reporting, stakeholder engagement, and documentation. Key Duties and Responsibilities

Project Planning and Preparation

  • Support Project Managers and senior technical leads in stakeholder engagement and coordination activities.
  • Assist in conducting training needs assessments and developing capacity-building programmes.
  • Contribute to project budget preparation, procurement planning, and identification of project risks and mitigation measures.
  • Support the drafting of project agreements, amendments, and budget revisions in collaboration with relevant stakeholders.

Training and Implementation Support

  • Coordinate logistics for project-related training sessions, workshops, and meetings including venues, materials, accommodation, catering, assessments, and certification.
  • Support the development and packaging of training materials and integration of thematic content.
  • Liaise with service providers, retainers, and implementing partners to ensure smooth project implementation.
  • Facilitate internal and external communication to minimize operational disruptions.

Monitoring, Reporting, and Compliance

  • Develop and update monitoring tools, progress tracking sheets, and risk and issue registers.
  • Collect, prepare, and archive documentation related to project and training activities.
  • Contribute to drafting, reviewing, and quality assurance of project reports, meeting minutes, and donor submissions.
  • Track milestones, deliverables, and deadlines and alert managers to upcoming reporting requirements.
  • Ensure project activities comply with UNOPS policies, procedures, and donor regulations.

Operational and Logistical Support

  • Coordinate procurement processes, travel arrangements, transport, and inventory management to support project operations.
  • Support HR-related project needs including drafting terms of reference, monitoring deliverables, and assisting with recruitment processes.
  • Manage project files, shared drives, and document management systems to ensure accessibility and real-time tracking.

Knowledge Building and Learning

  • Support the organization and facilitation of training and learning sessions on project management practices.
  • Participate in Communities of Practice and knowledge-sharing initiatives.
  • Conduct research on project management topics and contribute to reports, briefing notes, and summaries.

Qualifications and Experience

Education Requirements

  • Secondary school certificate with at least six years of relevant professional experience, or
  • Bachelor’s degree in any discipline with at least two years of relevant professional experience.

Desirable Qualifications

  • Globally recognized professional certification or membership in Project Management.

Experience Requirements

  • Relevant experience in project management, operations support, or related areas.
  • Demonstrated proficiency in productivity and collaboration tools such as Microsoft Office or Google Workspace.
  • Experience using web-based project or document management systems.

Desirable Experience

  • Experience working in multicultural environments or within the UN system.
  • Experience in development or humanitarian contexts.

Language Requirements

  • Fluency in English is required.
