Food for the Hungry (FH/U) is hiring a Temporary Procurement and Admin Assistant to support with the procurement, payment processing, contract and vendor management and Administration related activities through timely submission of procurement of quality goods, services and works that comply with the required specifications while upholding FH Association’s procurement and admin procedures and policies and maintaining high level of accountability and integrity.

Position Summary

We are seeking a Temporary Procurement and Admin Assistant to support procurement, payment processing, vendor and contract management, and administrative functions under the direct supervision of the Logistics & Procurement Coordinator. The role ensures that goods, services, and works are procured timely, cost-effectively, and in accordance with FH Association’s procurement and administrative policies. This position plays a vital role in supporting the organization’s operational excellence while maintaining high standards of integrity, confidentiality, and accountability.


Key Responsibilities

  • Assist in preparing and issuing request for quotations (RFQs), purchase requisitions, and purchase orders in compliance with FH Association’s procurement policies and donor guidelines.

  • Support vendor identification, evaluations, and maintaining a comprehensive supplier database.

  • Maintain up-to-date procurement and contract documentation for all transactions.

  • Liaise with vendors, service providers, and internal teams to ensure timely and accurate delivery of goods and services.

  • Assist in processing payments by compiling complete supporting documentation and ensuring timely submission to Finance.

  • Monitor delivery schedules and follow up on pending deliveries and documentation.

  • Provide administrative support including scheduling meetings, filing, and logistical arrangements for training or events.

  • Support in maintaining physical and digital records of procurement and administrative files for audit purposes.

  • Ensure proper documentation of fixed asset procurement and asset tagging in collaboration with the Asset Management team.

  • Uphold FH’s values and ethical standards by maintaining integrity, transparency, and accountability in all procurement-related activities.


Qualifications and Competencies

Education & Experience:

  • A minimum of a Bachelor’s degree in Procurement and Logistics Management, Business Administration, or a related field.

  • Fresh graduates or individuals with up to one year of internship/volunteer experience are encouraged to apply.

Skills & Abilities:

  • Good understanding of procurement and administrative procedures.

  • Excellent communication, interpersonal, and organizational skills.

  • Proficiency in Microsoft Office applications (Word, Excel, Outlook).

  • Strong attention to detail and ability to multitask in a fast-paced environment.

  • High level of integrity and ability to maintain confidentiality.

  • Commitment to the values and mission of FH Association.
