Position Summary
The Stores Assistant will be responsible for managing inventory in line with established standard operating procedures. The role focuses on maintaining accurate stock records, ensuring organized storage areas, supporting production and dispatch operations, preparing timely stock reports, and delivering excellent customer service to both internal and external stakeholders.
The position requires a high level of accuracy, integrity, and coordination with production, procurement, logistics, and sales teams. The successful candidate will play a critical role in ensuring stock availability, minimizing losses, and supporting smooth operational workflows.
Key Duties and Responsibilities
Inventory Control and Record Management
- Maintain accurate inventory movement records for all store items in accordance with company procedures.
- Carry out daily reconciliation of stock balances and update stock cards promptly.
- Ensure all inventory records reflect physical stock at all times.
- Maintain a comprehensive and up-to-date document retrieval system for all store transactions.
Receiving and Verification of Goods
- Receive, verify, and document daily transfers of finished goods from the production department.
- Physically inspect and verify all items received from suppliers against approved purchase orders and delivery documents.
- Identify discrepancies, damages, or shortages and report them immediately to the supervisor.
Quality Inspection and Approval
- Inspect final output from production and compare it against established specifications and requirements.
- Approve or reject finished products based on quality and compliance with standards.
- Ensure only approved products are accepted into the store for dispatch.
Stock Replenishment and Coordination
- Work closely with the supervisor to initiate timely replenishment of stock items.
- Monitor minimum and maximum stock levels to prevent stock-outs or overstocking.
- Support procurement planning through accurate stock reporting.
Dispatch and Customer Service
- Ensure correct items and quantities are loaded for dispatch as per approved loading documents.
- Serve internal and external customers promptly and professionally.
- Exercise good customer care practices to achieve high levels of customer satisfaction.
Reporting and Stock Taking
- Prepare accurate monthly stock reports and submit them within agreed timelines.
- Participate in monthly, quarterly, and end-of-year stock taking exercises.
- Support investigation and resolution of stock variances identified during stock counts.
Store Organization and Housekeeping
- Maintain clean, safe, and well-organized storage areas at all times.
- Ensure proper labeling and arrangement of stock for easy identification and retrieval.
- Adhere to safety and housekeeping standards within the stores environment.
Weighbridge Operations
- Operate and control the weighbridge in accordance with company procedures.
- Ensure accurate recording of weights and proper documentation of weighbridge transactions.
Other Duties
- Perform any other stores or administrative duties assigned by the supervisor from time to time.
Qualifications, Skills, and Experience
Academic Qualifications
- Bachelor’s Degree in Supply Chain Management, Procurement and Logistics, or a related field.
Professional Experience
- Minimum of three years’ experience working in a stores or inventory management role.
- Experience in a manufacturing environment is an added advantage.
Technical Skills and Knowledge
- Knowledge of inventory management and records management systems.
- Proficiency in IT and computer applications.
- Ability to prepare accurate stock reports and documentation.

- Strong organizational skills and attention to detail.
- High moral character, integrity, and honesty.
- Ability to work under pressure and meet deadlines with minimal supervision.
