Job Overview

Human Capital Business Solutions Ltd is seeking a competent, disciplined, and experienced Stores and Warehouse In-Charge to oversee the efficient management of inventory, storage, and distribution operations within a manufacturing environment. The Stores and Warehouse In-Charge is responsible for ensuring the safe handling, accurate tracking, and timely availability of raw materials, finished products, and packaging materials. These include chemicals such as pigments, solvents, resins, additives, and paint products that require strict safety, quality, and compliance controls.

The successful candidate will lead warehouse teams, coordinate with procurement and production departments, ensure regulatory compliance, and drive continuous improvement in warehouse efficiency, safety, and cost control.

Main Duties and Responsibilities- Stores and Warehouse In-Charge

Inventory Management

  • Oversee the receipt, inspection, storage, and issuance of all inventory including raw chemicals, paints, finished goods, and packaging materials.
  • Ensure accurate recording of inventory transactions within the ERP or inventory management system.
  • Conduct regular stock audits, cycle counts, and reconciliations to maintain accurate stock levels.
  • Investigate and resolve inventory discrepancies, shortages, or variances promptly.
  • Ensure proper labeling, segregation, and storage of hazardous and non-hazardous materials.

Warehouse Operations

  • Manage day-to-day warehouse activities including loading, unloading, picking, packing, and dispatching of goods.
  • Optimize warehouse layout to improve space utilization and workflow efficiency.
  • Implement and enforce FIFO (First-In-First-Out) principles, particularly for perishable, time-sensitive, or hazardous materials.
  • Ensure timely preparation and dispatch of materials to support uninterrupted production and customer deliveries.
  • Coordinate internal movements of materials between warehouse, production, and dispatch areas.

Safety, Health, and Environmental Compliance

  • Ensure strict adherence to health, safety, and environmental regulations governing storage and handling of hazardous substances.
  • Implement safety protocols for flammable chemicals, paints, solvents, and related materials.
  • Conduct routine risk assessments and ensure mitigation measures are implemented.
  • Maintain updated Material Safety Data Sheets for all stored chemicals and ensure staff awareness.
  • Ensure availability and proper use of personal protective equipment by warehouse staff.

Team Leadership and Supervision

  • Supervise warehouse and stores staff including allocation of duties, scheduling, and performance monitoring.
  • Provide training on warehouse procedures, safety practices, inventory control, and equipment use.
  • Conduct performance evaluations and support continuous improvement of staff productivity.
  • Foster a culture of accountability, teamwork, and operational excellence.

Supply Chain Coordination

  • Collaborate with procurement, production, and sales teams to forecast material requirements.
  • Ensure timely stock replenishment to support production schedules.
  • Monitor supplier deliveries for quality, accuracy, and timeliness.
  • Resolve supply chain issues related to delays, shortages, or quality deviations.

Cost Control and Operational Efficiency

  • Identify opportunities to reduce storage and handling costs.
  • Minimize waste, obsolescence, and losses including expired or damaged materials.
  • Support implementation of lean warehousing practices and process improvements.
  • Utilize inventory management software to enhance efficiency and data accuracy.

Reporting and Documentation

  • Prepare regular reports on inventory status, stock turnover, consumption trends, and warehouse performance.
  • Maintain accurate warehouse records, issue notes, delivery documentation, and audit trails.
  • Ensure all documentation is properly filed and available for internal and external audits.

Quality Assurance

  • Inspect incoming and outgoing materials to ensure compliance with company quality standards.
  • Ensure materials meet regulatory and certification requirements including applicable ISO standards.
  • Coordinate with quality assurance teams to address non-conformances.

Equipment and Emergency Management

  • Oversee safe operation and maintenance of warehouse equipment such as forklifts, pallet jacks, and shelving systems.
  • Ensure equipment inspections and servicing schedules are adhered to.
  • Develop and implement emergency response plans for incidents such as spills, fires, or supply disruptions.

Qualifications, Experience, and Skills

Academic and Professional Qualifications

  • Bachelor’s Degree in Supply Chain Management, Logistics, Business Administration, or a related field.
  • Relevant professional certifications such as Certified Supply Chain Professional or hazardous materials handling certification are an added advantage.

Experience

  • Three to five years of practical experience in warehouse or stores management.
  • Previous experience in paint manufacturing, chemicals, FMCG, or related industrial environments is strongly preferred.
  • Proven experience handling hazardous materials is essential.

Technical and Soft Skills

  • Hands-on experience with inventory management or ERP systems such as SAP or Oracle.
  • Strong leadership, communication, and team management skills.
  • Excellent organizational and problem-solving abilities.
  • Ability to work under pressure and make timely operational decisions.
  • Strong attention to detail and commitment to safety and compliance.
