Are you a highly organized procurement professional with strong knowledge of sourcing, compliance, and vendor management? Habitat for Humanity Uganda (HFHU) is seeking a skilled and experienced Procurement Coordinator to lead procurement operations and ensure that goods, works, and services are acquired transparently, timely, and cost-effectively.

This position plays a critical role in supporting Habitat for Humanity Uganda’s mission by ensuring compliance with both internal policies and donor procurement requirements.


Key Duties and Responsibilities

Procurement Planning & Sourcing

  • Coordinate annual and project-based procurement plans in collaboration with program and support teams.

  • Prepare and manage Requests for Quotations (RFQs), bid evaluations, and purchase orders in line with HFHU procurement guidelines.

  • Maintain an up-to-date and pre-qualified supplier database to streamline sourcing efforts.

Procurement Operations & Contract Management

  • Ensure timely procurement of goods, services, and works based on approved requisitions.

  • Monitor supplier performance, oversee contract execution, and ensure quality standards are met.

  • Follow up with suppliers to ensure prompt delivery and handle procurement-related issues or disputes.

Compliance & Documentation

  • Maintain full compliance with HFHU’s procurement policies and donor guidelines.

  • Ensure proper documentation, filing, and recordkeeping for all procurement transactions.

  • Support internal and external audits by providing accurate procurement documentation.

Vendor Engagement & Market Research

  • Liaise with suppliers to obtain competitive quotes and negotiate favorable terms.

  • Foster strong supplier relationships while maintaining transparency and ethical practices.

  • Participate in vendor selection, evaluations, and debriefings when necessary.

Reporting & Coordination

  • Prepare and submit periodic procurement reports, highlighting key activities and pending issues.

  • Collaborate closely with program, finance, and administration teams for seamless procurement processes.

  • Contribute to procurement sections of donor proposals, budgets, and reports as needed.


Qualifications and Experience

Minimum Requirements

  • Bachelor’s degree in Procurement, Supply Chain Management, Business Administration, or related field.

  • At least 3 years of progressive experience in procurement or supply chain management, preferably in an NGO or donor-funded setting.

Preferred Qualifications

  • Professional membership with a recognized body such as CIPS is an added advantage.

  • Prior experience in managing donor-funded procurement (e.g., USAID, EU, etc.) is highly desirable.


Key Competencies and Skills

  • Strong knowledge of procurement processes, contract management, and vendor relations.

  • Familiarity with value-for-money principles and best procurement practices.

  • Proficient in Microsoft Office, especially Excel and Word.

  • Strong analytical and negotiation skills.

  • Excellent organizational and time management abilities.

  • Attention to detail and a commitment to policy compliance.

  • Strong communication and interpersonal skills.
