Job Summary

The Human Resource Officer will report directly to the Human Resource Manager and will play a vital role in executing core HR operations. The position requires someone who is highly organized, adaptable, and comfortable handling multiple responsibilities, from recruitment and onboarding to benefits administration, compliance, and employee engagement.

Key Duties and Responsibilities

1. Benefits Administration & Compliance (35%)

  • Manage staff benefits programs such as medical insurance and GPA (Group Personal Accident) cover.

  • Oversee employee enrollments, claims processing, and payment of invoices.

  • Serve as the primary point of contact between Educate! and benefits providers.

  • Regularly communicate policy updates, perks, and entitlements to ensure staff remain informed.

  • Guide employees through internal scholarship applications and related processes.

2. Talent Acquisition & Onboarding (25%)

  • Support high-volume recruitment, especially for field-based positions, working closely with the HR Coordinator.

  • Lead recruitment from job posting through to offer, ensuring fairness, transparency, and consistency.

  • Coordinate smooth onboarding for all new hires, including orientation programs, provision of work tools, and preparation of welcome materials.

  • Ensure all new employees integrate successfully into Educate!’s work culture.

3. Contracts, Records & Leave Management (20%)

  • Maintain accurate staff files and HR records in both the shared drive and BambooHR system.

  • Conduct regular data audits to confirm contract terms and documentation compliance.

  • Manage staff leave applications, approvals, and reporting in line with company policy.

  • Dispose of outdated records responsibly, ensuring adherence to internal and legal requirements.

4. HR Logistics & Culture Initiatives (20%)

  • Process work permits, NGO special passes, and ensure compliance with Ugandan labor laws.

  • Coordinate team-building activities, recognition initiatives, and HR-driven staff events.

  • Act as a culture champion, creating feedback channels between HR and staff while addressing employee concerns promptly.

  • Promote Educate!’s values of inclusivity, integrity, learning, and impact in all HR processes.


Qualifications and Competencies

Who You Are

  • Organized and detail-oriented: able to manage multiple HR processes without errors.

  • Tech-savvy: proficient in Excel/Google Sheets and comfortable using HR systems like BambooHR.

  • Proactive and independent: capable of prioritizing tasks and taking ownership of outcomes.

  • Strong communicator: able to draft clear professional emails, policies, and correspondence.

  • Collaborative: works effectively across teams to ensure smooth HR operations.

  • People-centered: understands the importance of employee experience and culture.

Education and Experience

  • A Bachelor’s degree is preferred (though candidates with strong relevant experience will be considered).

  • At least 3 years of experience in Human Resources, Administration, or Operations.

  • Strong background in HR systems management, compliance, and employee support.

  • Demonstrated ability to manage HR documentation, SOPs, and data tracking.

  • Previous HR experience in non-profit organizations or social enterprises is highly desirable.
