Job Summary

The Human Resource and Administrative Assistant will play a dual role of supporting HR functions and ensuring efficient office operations. This includes assisting in staff recruitment, onboarding, welfare management, record keeping, compliance, payroll support, office management, procurement, logistics, and employee engagement.

Reporting directly to the Human Resource Manager, the successful candidate will collaborate with different departments and external partners to ensure organizational standards are upheld while fostering a positive and professional work environment.


Key Duties and Responsibilities

1. Recruitment & Onboarding

  • Assist in advertising job vacancies, scheduling interviews, and communicating with candidates.

  • Coordinate logistics for interviews and testing processes.

  • Support new hire documentation and maintain orderly HR files (both physical and electronic).

  • Facilitate smooth onboarding and staff orientation.

  • Ensure timely issuance of staff IDs and onboarding kits.

2. Staff Records & HR Documentation

  • Maintain accurate and up-to-date personnel records, contracts, job descriptions, and appraisal forms.

  • Track leave balances, performance milestones, and contract renewal dates.

  • Ensure confidentiality and security of sensitive HR data.

  • Update HR trackers and calendars related to recruitment, probation, and leave schedules.

3. Payroll and Benefits Administration

  • Collect and verify timesheets and attendance for payroll processing.

  • Support staff with inquiries regarding payroll and benefits.

  • Assist in the administration of employee benefits such as health insurance.

  • Monitor utilization of benefits and assist during open enrollment periods.

4. Training and Development

  • Coordinate training sessions including scheduling, venue booking, and material preparation.

  • Assist in identifying training needs and maintaining training records.

  • Support the evaluation of training effectiveness through staff feedback.

5. Performance Management

  • Assist with performance appraisal processes and timelines.

  • Support managers in goal-setting and monitoring employee progress.

  • Facilitate employee feedback sessions and support development plans.

6. Staff Welfare & Engagement

  • Support wellness and staff care initiatives including devotions, team-building activities, and engagement surveys.

  • Monitor attendance and flag well-being concerns to HR management.

7. Administrative & Office Management

  • Oversee day-to-day office operations to ensure efficiency.

  • Manage office supplies, inventory, and equipment.

  • Assist with organizing meetings, conferences, and company events.

  • Provide general administrative support including filing, data entry, and correspondence.

8. Procurement & Logistics

  • Monitor office supply levels and manage procurement processes.

  • Manage inventory of office assets and arrange maintenance when necessary.

  • Coordinate travel logistics for staff and visitors.

9. Compliance & Policy Support

  • Ensure adherence to HR policies, labor laws, and organizational procedures.

  • Respond to basic staff inquiries about HR policies.

  • Support staff training on HR policies and compliance requirements.


Qualifications, Skills & Experience

  • Bachelor’s degree in Human Resource Management, Business Administration, Organizational Psychology, or related field.

  • Minimum of 2 years’ experience in HR or administrative support.

  • Hands-on experience in recruitment, onboarding, file management, and HR documentation.

  • Familiarity with Uganda’s labor laws and compliance requirements.

  • Knowledge of HR software and databases is an added advantage.

  • Excellent communication and interpersonal skills.

  • Strong organizational and multitasking abilities.

  • High level of confidentiality and integrity in handling HR data.

  • Proficiency in Microsoft Office (Word, Excel, Outlook).
