Job Summary

The HR Assistant will provide proactive administrative and operational support across recruitment, onboarding, performance management, payroll administration, welfare schemes, training coordination, and HR systems management. The role contributes directly to building a positive employee experience and ensuring efficient HR operations. The successful candidate will work closely with the HR Business Partner and other stakeholders to ensure HR processes are delivered efficiently, accurately, and in line with organisational standards.

Key Duties and Responsibilities

  • Provide proactive support in recruitment, onboarding, and performance management processes.
  • Ensure efficient execution of transactional HR responsibilities including payroll administration and background checks.
  • Draft HR correspondences and support onboarding and exit procedures.
  • Administer MPL welfare schemes and process documentation for enrollments and terminations.
  • Provide administrative and logistical support for staff training and development programs.
  • Coordinate logistics for staff engagements, internal events, and HR projects.
  • Serve as a safety representative by coordinating safety trainings, supporting audits, and maintaining compliance records.
  • Maintain and update staff records by scanning and uploading hard-copy documentation into HR systems.
  • Conduct new employee orientation to ensure effective assimilation into organisational culture.
  • Manage the company’s electronic leave system to ensure compliance with leave policies and accurate reporting.
  • Manage the e-performance management system, including onboarding new staff and deactivating exited employees.

Qualifications, Skills, and Experience

Academic Qualifications

  • University Degree in Human Resource Management, Social Sciences, Organizational Psychology, or a related field.

Professional Qualifications

  • Professional qualification or Postgraduate Diploma in Human Resource Management, Organizational Development, or Organizational Psychology is an added advantage.

Experience Requirements

  • One to two years of working experience in an HR environment.
  • Experience in an FMCG or fast-paced corporate environment is preferred.
