Grants Accountant Job in Kampala – Habitat for Humanity Uganda

The organization is seeking a highly skilled and detail-oriented Grants Accountant to strengthen financial management, donor compliance, and internal controls for donor-funded programs. This is a full-time position based at the National Office in Kampala. The Grants Accountant will support the Finance & Operations Manager in the implementation, monitoring, budgeting, and reporting of donor-funded projects. The role ensures compliance with Habitat for Humanity Uganda policies, donor regulations, and internal financial controls. The position plays a key role in managing grant finances, coordinating with internal and external stakeholders, and supporting accurate financial and programmatic reporting. Through effective grant financial management, the Grants Accountant contributes to organizational sustainability, accountability, and successful project delivery.Department and Reporting Structure

Key Duties and Responsibilities
1. Grant Coordination and Stakeholder Management
- Ensure all internal and external stakeholders clearly understand grant terms, conditions, deliverables, and reporting requirements.
- Communicate ongoing grant information and updates to relevant teams.
- Provide grant management tools and guidance, including project work plans, Gantt charts, reporting calendars, and templates.
- Support the preparation and management of partner MOUs, agreements, and due diligence assessments.
2. Budget Development, Review, and Monitoring
- Develop grant and project budgets aligned with approved work plans and donor guidelines.
- Verify correct budget coding and setup in SunSystems to enable accurate financial tracking.
- Provide timely financial feedback to donors, the Finance & Operations Manager, and project teams.
3. Grant Financial Management and Compliance
- Liaise with implementing partners on grant implementation, expenditure tracking, and reporting.
- Ensure full compliance with donor financial requirements and HFHU policies.
- Maintain accurate project, fund, and donor activity codes in SunSystems.
- Conduct periodic reviews of supporting documentation for all grant-related transactions.
- Perform budget variance analysis and advise management on corrective actions.
- Support donor audits and recommend improvements to internal controls.
- Review donor financial reports and provide quality assurance before submission.
- Conduct field visits to assess program implementation, financial compliance, and risk exposure.
4. Capacity Building and Training
- Review grant agreements to identify compliance gaps.
- Support the development and improvement of grant management policies, procedures, and systems.
- Share best practices in grant financial management across teams.
- Conduct or coordinate training for staff and partners to strengthen grant management capacity.
5. Grant Cash Flow Management
- Monitor grant cash flow to ensure compliance with donor disbursement schedules and internal procedures.
- Ensure timely utilization of funds in line with approved budgets.
6. Payroll Administration (Grant-Related Costs)
- Prepare payroll costs charged to donor-funded grants.
- Ensure accurate statutory deductions and timely remittances.
- Prepare salary journals for posting in SunSystems.
7. Internal Controls and Audit Support
- Ensure strong internal controls for all grant-related financial transactions.
- Support internal and external audits by preparing schedules and responding to audit queries.
8. Budgeting and Financial Reporting Support
- Participate in project and annual budgeting exercises.
- Prepare monthly budget versus expenditure reports.
- Review financial requests for completeness, authorization, and budget availability.
- Support field offices with grant-related financial matters as required.
Success Criteria
- Timely and accurate submission of donor financial and narrative reports.
- Full compliance with donor regulations and HFHU policies.
- Accurate coding and recording of all grant transactions in SunSystems.
- Effective management of grant cash flow and expenditures.
- Positive feedback from internal teams, donors, auditors, and partners.
Minimum Qualifications
- Bachelor’s Degree in Commerce, Accounting, or Business Studies with an accounting specialization.
- Part professional accounting qualification such as ACCA, CPA (K), or CPA (U).
- At least five years of post-qualification experience in a busy finance environment.
- Strong computer literacy, including MS Word, Excel, and SunSystems.
Preferred Qualifications
- Knowledge of donor regulations including USAID, EU, and UN-funded projects.
- Experience working in NGO or international development grant accounting.
