Role Purpose

To support the Reconciliations Unit by ensuring timely and accurate reconciliation of suspense accounts related to digital channels, card channels, and Calypso accounts. The role includes aging and clearing outstanding items, escalating long-outstanding entries, monitoring operational losses, and supporting revenue assurance and audit requirements.

Key Duties and Responsibilities

1) Reconciliation and Suspense Account Management

  • Reconcile suspense accounts for digital channels, card channels, and Calypso accounts within agreed timelines.

  • Ensure all debits posted to Nostro and other suspense accounts are explained on the first day of reconciliation.

  • Perform reconciliation of internal accounts and assigned GL/suspense accounts as directed by the supervisor.

  • Track aging of outstanding items and follow up with responsible units to ensure closure within set standards.

  • Escalate non-compliance and long-outstanding entries in line with the escalation matrix.

  • Follow up on suspense account ownership sign-offs with unit heads across the bank.

  • Lead recovery efforts for duplicated transactions in collaboration with product owners, IT, and the Contact Centre.

2) Operational Loss Monitoring and Control Improvement

  • Monitor and report operational losses in Nostro and other suspense accounts, including BoU penalties and avoidable charges.

  • Identify control gaps and process losses, and recommend improvements to strengthen procedures, systems, and fraud prevention measures.

3) Automation and Systems Usage

  • Ensure optimal utilization of Intellimatch, including increased automation and efficiency in reconciliation processes.

  • Maintain accurate records and reconciliation evidence to support reporting and audit needs.

4) Reporting and Stakeholder Management

  • Prepare weekly exception reports on long-outstanding items for the manager’s review and inclusion in monthly Risk Management Committee submissions.

  • Share all reports in a timely manner in line with SLAs agreed with internal stakeholders.

  • Assist in responding to customer queries and follow up to ensure timely closure of all open queries.

5) Audit Support and Compliance

  • Support internal and external audits by providing required reconciliation schedules, supporting documents, and explanations promptly.

  • Ensure reconciliations and processes align with regulatory and statutory requirements as applicable.

6) Revenue Assurance Responsibilities

  • Support analysis of Actual vs Expected revenue across all transactional revenue lines.

  • Identify uncollected charges in Nostro and other operational accounts (banker’s cheques, merchants, Card Centre, funds transfers) and follow through to ensure collection.

  • Ensure FX and Money Market deals are settled on time and follow up on interest for late payments where applicable.

  • Monitor P&L debits daily, identify exceptions, and escalate promptly, including picking up any unauthorized debits on P&L accounts.

7) Culture, Collaboration, and Performance

  • Demonstrate and uphold the Bank’s values in all engagements.

  • Maintain strong working relationships with operations and business units to support reconciliation and issue resolution.

  • Review performance regularly against agreed objectives and take ownership of personal development to improve effectiveness.

Qualifications, Skills, and Experience

Education and Professional Qualifications

  • University degree in Business-related studies or an equivalent qualification.

  • CPA is an added advantage.

Experience

  • At least 2 years’ experience in banking operations.

  • Experience in internal accounts reconciliations is an added advantage.

Technical Skills and Knowledge

  • Strong understanding of banking systems, operating controls, and general banking processes.

  • Knowledge of regulatory and statutory requirements.

  • Practical experience using MS Office applications.

  • Competency in Intellimatch and T24 banking systems.
