Position Summary

The Finance and Administration Assistant will play a vital role in maintaining accurate financial records, managing banking operations, ensuring compliance with procurement policies, and providing general administrative support. The successful candidate will be detail-oriented, organized, and capable of multitasking to support both financial and operational functions of the company.


Key Duties and Responsibilities

  1. Financial Reporting and Record Management

    • Prepare monthly, quarterly, and annual financial reports in line with company policies and statutory requirements.

    • Maintain accurate and up-to-date accounting records, ensuring all transactions are properly documented and filed.

    • Assist in budget preparation and monitor expenditure against budget allocations.

  2. Banking and Cash Flow Management

    • Manage banking operations, including deposits, withdrawals, transfers, and reconciliations.

    • Monitor cash flow to ensure that the company maintains sufficient liquidity for operational needs.

    • Maintain relationships with banking institutions to ensure efficient service delivery.

  3. Procurement Oversight

    • Oversee procurement processes to ensure full compliance with company policies and relevant regulations.

    • Source suppliers, obtain quotations, and negotiate for the best value in goods and services.

    • Maintain a database of approved vendors and track supplier performance.

  4. Administrative Support

    • Support general office administration, including scheduling meetings, managing correspondence, and maintaining office supplies.

    • Coordinate travel and accommodation arrangements for staff where necessary.

    • Ensure that the office environment remains organized, efficient, and professional.

  5. Compliance and Internal Controls

    • Adhere to company financial policies, internal controls, and reporting standards.

    • Support internal and external audits by providing necessary documentation and explanations.


Qualifications and Skills

  • Education:

    • Bachelor’s degree or Diploma in Accounting, Finance, Business Administration, or a related field.

  • Experience:

    • At least 1–2 years of relevant experience in accounting and administrative support, preferably in a fast-paced environment.

  • Technical Skills:

    • Basic knowledge of accounting principles.

    • Proficiency in using accounting software such as QuickBooks.

    • Strong skills in Microsoft Office applications, particularly Excel and Word.

  • Core Competencies:

    • Excellent organizational and time management skills.

    • Strong attention to detail and accuracy.

    • Good communication and interpersonal skills.

    • Ability to handle confidential information with integrity.

    • Problem-solving skills and a proactive approach to work.
