Job Summary

SNV Uganda is seeking a detail-oriented and highly efficient Executive Administration Officer to support the Country Director and Country Management Team (CMT). This role ensures effective coordination, timely reporting, professional communication, and efficient office administration.

Key Responsibilities

Administrative Support

  • Assist the Country Director and CMT in administrative tasks and workload management.
  • Prepare and share reports using operational, HR, and financial data.
  • Write, distribute, and follow up on CMT meeting minutes and action points.
  • Support compliance and country registration documentation.

Project Monitoring and Support

  • Coordinate project reviews and donor reporting.
  • Support annual and mid-year review documentation and reporting processes.

Meetings and Events Coordination

  • Organize internal and external meetings, workshops, and appointments.
  • Take and distribute professional meeting minutes.
  • Work with logistics teams to support event implementation.

Communications and Office Management

  • Manage internal and external communications in coordination with the Communications Department.
  • Handle incoming and outgoing calls, emails, and official correspondence.
  • Support content development for newsletters and announcements.

Compliance and Contract Management

  • Monitor and track donor requirements and advise project managers accordingly.
  • Ensure timely contract amendments and compliance with donor requirements.
  • Maintain project files on SharePoint from inception to closure.

Filing and Archiving

  • Manage control, storage, and filing of project and office documents.
  • Ensure adherence to SNV archiving procedures.

Qualifications and Experience

  • Bachelor’s Degree in Business Administration, Management, Communications, Public Relations, or a related field.
  • Minimum of 8 years of relevant experience in a similar role, ideally within an international or development organization.
  • Strong administrative and organizational skills with excellent written and verbal English communication.
  • Advanced computer skills in Microsoft Word, Excel, PowerPoint, and Outlook.
  • High levels of integrity, confidentiality, and attention to detail.
  • Ability to work independently and collaboratively in a fast-paced environment.
