Job Overview

Ntake Bakery & Company Ltd, one of the region’s most respected and fast-growing food manufacturing brands, is seeking to recruit two Assistant Imports Coordinators to strengthen its import logistics and supply chain operations. The Assistant Imports Coordinators will support import operations by ensuring efficient shipment coordination, customs clearance, regulatory compliance, accurate stock reconciliation, and timely delivery of raw materials. The role requires a strong understanding of import procedures, URA systems, cross-border logistics, and documentation management.

Successful candidates will work closely with clearing agents, URA bond officers, transporters, and internal logistics teams to ensure uninterrupted supply of imported raw materials while maintaining the highest standards of accuracy, compliance, and operational excellence.

Key Duties and Responsibilities

Import Documentation Management

  • Review, verify, and approve shipping and import documentation for all consignments prior to arrival at designated ports such as Mombasa or Entebbe.
  • Ensure all documents comply with applicable customs, URA, and regulatory requirements.
  • Establish and maintain an organized filing system for all import-related records.
  • Ensure timely closure of import files once vessels are fully cleared and applicable taxes and duties are paid.

Consignment and Clearing Coordination

  • Serve as the primary liaison with clearing agents in Mombasa and Kampala.
  • Track shipments from origin to destination, ensuring timely clearance and dispatch.
  • Proactively identify, escalate, and resolve delays or documentation issues during the clearing process.
  • Ensure smooth coordination between clearing agents, transporters, and internal departments.

Cargo Verification and URA Systems Management

  • Oversee the receipt, positioning, and verification of cargo using the URA digital systems.
  • Utilize BWIMS (Bonded Warehouse Information Management System) to validate cargo details accurately.
  • Ensure all cargo information entered into URA systems is complete, accurate, and compliant.
  • Investigate and resolve any discrepancies identified during cargo verification.

Stock Management and Inventory Control

  • Maintain accurate URA stock records for all incoming vessels and containerized shipments.
  • Update internal stock records for each truckload, ensuring real-time inventory visibility.
  • Monitor stock movement within bonded warehouses and reconcile physical stock with system records.
  • Support internal and regulatory audits by providing accurate stock documentation.

Container Tracking and Bond Operations

  • Track container movements from port to bonded warehouse.
  • Ensure timely arrival of containers at the bond.
  • Coordinate offloading operations to minimize delays, demurrage, and handling issues.
  • Maintain accurate records of container status and turnaround times.

Grain Reconciliation and Quality Control

  • Reconcile grain quantities received against dispatch records from suppliers.
  • Identify, investigate, and resolve quantity variances promptly.
  • Maintain detailed reconciliation reports for audit and management review.
  • Ensure inventory accuracy and traceability throughout the import process.

Stock Card Preparation and Management

  • Prepare and maintain detailed stock cards for all consignments stored in bonded warehouses.
  • Ensure stock cards are updated regularly to reflect current inventory levels.
  • Align stock card data with URA and internal system records.

Data Entry and Regulatory Reporting

  • Accurately enter grain truckload data and payment receipts into the company’s systems.
  • Compile, analyze, and prepare comprehensive URA monthly reports.
  • Support compliance with statutory reporting requirements.

Logistics and Transport Coordination

  • Allocate grain and other imported materials to approved transporters.
  • Ensure timely dispatch of materials to support uninterrupted production.
  • Work with logistics teams to optimize transport routes and reduce operational costs.

Customs Clearance Support

  • Work closely with URA bond officers to facilitate efficient customs clearance.
  • Ensure compliance with all customs, taxation, and regulatory requirements.
  • Resolve clearance issues promptly to avoid delays and penalties.

Qualifications and Requirements

Academic Qualifications

  • Bachelor’s Degree in Supply Chain Management, Logistics, Business Administration, or a related field.

Experience

  • Minimum of three years of experience in imports, logistics, or supply chain coordination.
  • Previous experience in manufacturing or food production environments is strongly preferred.
  • Hands-on experience using URA digital systems such as BWIMS.
  • Experience working with customs clearance, bonded warehouses, and import documentation.

Certifications and Professional Requirements

  • Mandatory certification in East African Community Freight Forwarding and Customs Procedures.
  • Strong knowledge of international trade and cross-border import compliance.
  • Certification in customs clearance, import and export management, or logistics is an added advantage.

Skills and Competencies

  • Strong attention to detail and high level of accuracy.
  • Excellent coordination, communication, and stakeholder management skills.
  • Ability to work under pressure and manage multiple consignments simultaneously.
  • Strong analytical and problem-solving abilities.
  • High integrity and commitment to compliance.
