Mbarara University of Science and Technology (MUST), a leading public university in Uganda, is seeking to recruit a qualified, competent, and motivated Assistant Administrative Secretary to provide high-level administrative and secretarial support. This position plays a key role in ensuring efficient office management and supporting the smooth functioning of the university’s operations.

Key Duties and Responsibilities

The Assistant Administrative Secretary will be responsible for performing a wide range of administrative and secretarial tasks to ensure effective office operations. The main duties include:

  • Taking and transcribing dictation into error-free documents.

  • Receiving, registering, and disseminating correspondences, mails, and official communications.

  • Organizing and scheduling meetings and appointments.

  • Maintaining and updating the desk diary for supervisors.

  • Taking accurate minutes during meetings and circulating decisions to action officers.

  • Creating, organizing, and managing office files and records.

  • Overseeing the movement of files into and out of the department.

  • Drafting responses, memos, and communications on behalf of supervisors.

  • Welcoming and guiding visitors, clients, and staff to the appropriate offices.

  • Managing office supplies, stationery, and inventory.

  • Monitoring usage, servicing, and maintenance of office machines and equipment.

  • Ensuring office cleanliness, tidiness, and orderliness at all times.

  • Supervising support staff for efficiency in daily operations.

  • Carrying out any other duties as may be assigned by the supervisor.


Qualifications and Experience

Applicants must meet the following minimum requirements:

  • An Honors Bachelor’s Degree in:

    • Office Management & Secretarial Studies, OR

    • Administration & Secretarial Studies, OR

    • A closely related field from a recognized institution.

  • At least two years of working experience in a reputable institution (an added advantage).

  • Must not be above 40 years of age at the time of application.

  • Strong organizational, communication, and interpersonal skills.

  • Computer literacy with proficiency in MS Office applications.

  • Ability to maintain high levels of confidentiality, professionalism, and efficiency.
