Job Title: Assistant Accountant

Reporting to: Finance and Administration Officer
Station: Kampala, Uganda
Industry: NGO / Agriculture / Accounting


Key Duties and Responsibilities

As an Assistant Accountant at IITA Uganda, your responsibilities will include but not be limited to:

1. Financial Tracking and Reporting

  • Maintain and manage the staff advances monitoring system, ensuring accurate tracking and timely settlements.

  • Support the monthly financial reporting process to headquarters by preparing reconciliations and ensuring data integrity.

  • Participate in the internal and external audit processes, including document retrieval and clarification of records.

2. Expense Management

  • Review and audit i-Expense reports in Oracle in accordance with IITA's financial policies and donor guidelines.

  • Ensure all physical supporting documents are properly reviewed, approved, and filed.

  • Coordinate and process cost recovery and chargebacks by preparing and submitting approved journals for timely posting.

3. Fixed Assets and Stock Management

  • Maintain the fixed asset register and ensure that assets are properly tagged and reconciled with headquarters’ records.

  • Participate in quarterly stock counts and support the physical verification and reconciliation of assets.

4. Compliance and Statutory Returns

  • Collaborate with the HR team (People & Culture) to prepare and submit PAYE and NSSF returns in compliance with Ugandan laws.

  • Compile casual laborers’ payment requests and ensure accurate and timely payment.

5. Accounts Receivable and Documentation

  • Prepare and issue station invoices and actively follow up on outstanding receivables to ensure prompt collection.

  • Maintain an efficient filing system for all financial records including i-expense claims, payroll records, journals, and cost recovery documents.

6. Other Responsibilities

  • Perform any other tasks as may be assigned by the supervisor to support financial and administrative efficiency at the station.


Qualifications and Experience

To be successful in this role, you should meet the following criteria:

  • A Bachelor’s degree in Accounting, Finance, or a related field is required.

  • Minimum of three (3) years of accounting experience, preferably in a non-profit or NGO setting.

  • Familiarity with donor-funded project accounting and reporting.

  • Proficiency in Microsoft Office Suite, especially Microsoft Excel.

  • Working knowledge of Oracle Financials or similar accounting software is an added advantage.

  • Strong numerical and analytical skills.

  • Excellent organizational and time management abilities.

  • Ability to work independently under minimum supervision while also contributing to a collaborative team environment.
