The Administrative Officer role is a critical position, ensuring that clients, patients, and visitors experience exceptional customer service and administrative efficiency right from their first point of contact.
Job Purpose
The Administrative Officer will serve as the company’s first point of contact with clients and visitors. The role involves welcoming patients, verifying membership validity, managing client inquiries, processing payments, booking appointments, and ensuring smooth reception operations.
This role requires someone who is organized, professional, and able to multi-task while maintaining a high level of customer care.
Key Duties and Responsibilities

Warmly welcome all members and visitors, providing a positive first impression of AAR Healthcare.

Verify the validity of clients’ memberships before treatment and inform clients of payment requirements if membership is invalid.

Provide accurate and timely information to clients regarding services, policies, or queries.

Print ARN forms and ensure proper documentation for client records.
-
Receive co-payment fees from staff members, their dependents, or other clients as required.

Handle client concerns with professionalism, ensuring their issues are followed up and resolved to satisfaction.

Manage reception operations including receiving and dispatching parcels.

Book and confirm patient appointments, ensuring smooth scheduling.

Answer incoming calls, direct them to appropriate staff, and manage inquiries.

Ensure the reception area is well-organized, clean, and professional at all times.

Provide a positive and welcoming experience for all clients.

Ensure all patients are attended to promptly and efficiently upon arrival.

Verify and confirm patient eligibility for outpatient services.

Maintain the smooth running of the reception area including equipment, cleanliness, and service provision.
Qualifications, Skills, and Experience

A Degree or Diploma in Business-related fields, Social Sciences, or a relevant discipline.

Strong communication, interpersonal, and presentation skills.

Demonstrated maturity in areas of integrity, credibility, and trust.

Excellent customer service skills with the ability to handle diverse clients.

Good organizational skills and the ability to multitask under pressure.

Computer literacy and familiarity with administrative systems.
