Job Description

The Uganda Revenue Authority is hiring an Administrative Officer to provide effective administrative and clerical services that support efficient organizational operations.

Principal Accountabilities

  1. Administrative Support:
    • Receive and dispatch mail for the Assistant Commissioners (ACs) office and Division, maintaining mail-out dispatch register.
    • Organize meeting schedules, venues, logistics, and minute-taking.
    • Develop and manage filing indexes and correspondence on the Document Management System (DMS).
    • Attend to visitors and manage inquiries.
    • Update and coordinate calendars for the Division and ACs office.
    • Coordinate transport and vehicle movements through the fleet management system.
  2. Imprest System Management:
    • Process and account for imprest funds as per approved budgets.
    • Prepare petty cash vouchers, reconciliations, reimbursements, and cash books for supervisory review.
    • Generate reports on imprest utilization for budget adjustments.
  3. Procurement Liaison:
    • Receive procurement requests and submit e-procurement requisitions.
    • Follow up on requisitions and ensure timely delivery of office and tea supplies.
    • Conduct periodic stock-taking and update inventories.
    • Liaise with suppliers to ensure service delivery as per standards.
  4. Office Welfare Management:
    • Coordinate cleanliness and welfare activities including meals, teas, water, and first aid supplies.
    • Monitor office assets, coordinate maintenance, and update inventories.
    • Implement health and safety policies within the Division/Station.
  5. Staff Performance & Development:
    • Plan and budget for resources and monitor usage for efficiency.
    • Develop work plans, performance agreements, and monitor staff productivity.
    • Assess training needs and provide coaching and mentoring.
    • Promote teamwork, succession planning, and innovation within the team.

Person Specifications

Essential Requirements

  • Honors Bachelor’s Degree in Secretarial Services, Records Management, Information Systems Management, Public Administration, or related field.
  • At least 3 years’ experience in secretarial, office management, administrative, or records management functions.
  • Impeccable integrity record.

Desirable Requirements

  • Basic training related to essential requirement areas.

Knowledge & Skills

  • Knowledge of URA business processes, Information Policy, and Client Service Standards.
  • Basic computer application skills.
  • Good time management, communication, and customer care skills.
  • Strong planning, organizational, and report-writing skills.
  • Ability to work effectively in teams.
