Job Summary
The Administrative Assistant will provide professional administrative and clerical support to ensure smooth daily operations at the Carter Center office in Kampala. Acting as the first point of contact for visitors and partners, the Administrative Assistant will be responsible for managing communications, coordinating meetings, handling financial transactions, and supporting both senior administrators and team members.
This position requires a high degree of professionalism, organizational skills, and the ability to multitask effectively in a fast-paced environment.
Key Responsibilities
The successful candidate will perform a wide range of administrative and office management duties, including:

Front Desk Management: Handle reception duties as the first point of contact for all visitors to TCC Uganda.

Office Operations: Supervise the cleaning of office premises, manage kitchen supplies, office sundries, and maintain accurate inventory records.

Meetings and Events: Assist with the organization of national and international meetings, prepare minutes, keep event records, and ensure effective follow-up.

Travel & Logistics: Work with the Logistics & Transport Officer to handle hotel reservations for staff during field visits and support arrangements for international meetings.

Office Support: Coordinate day-to-day office management tasks and ensure efficient office procedures that support program activities.

Correspondence: Draft, prepare, and send letters, emails, and communications to districts, local partners, and external stakeholders.

Financial Duties: Manage petty cash payments, track expenses, and ensure compliance with financial procedures.

Document Handling: Deliver and manage official documents, packages, and correspondence internally and externally as needed.

Compliance: Ensure adherence to organizational policies and standards in all administrative tasks.

Professional Development: Proactively seek opportunities for continuous learning, training, and development to enhance expertise and remain up to date with administrative best practices.

Other Duties: Carry out any additional responsibilities assigned by the Senior Administrator.
Minimum Qualifications
Applicants must meet the following requirements:

A High School diploma (or equivalent) plus five years of clerical or secretarial experience, OR a Bachelor’s degree in a related field.

Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) and other commonly used computer applications.

Strong keyboarding and data entry skills.

Ability to manage administrative tasks with accuracy, efficiency, and confidentiality.
Preferred Qualifications

Proven ability to work independently and collaboratively within a diverse team.

Strong verbal and written communication skills, with the ability to interact professionally with staff, partners, and external visitors.

Excellent customer service skills: approachable, friendly, and solution-oriented.

Strong organizational and time management skills, with the ability to prioritize multiple tasks and meet tight deadlines.

Previous experience working in international development organizations or NGOs is highly desirable.

Attention to detail and accuracy in handling documents and financial transactions.

Demonstrated experience in coordinating meetings, managing travel logistics, and handling event planning.
