Job Purpose

The Administrative Assistant will support day-to-day office operations to ensure a smooth, organized, and professional working environment. This role plays a central part in front desk operations, office administration, inventory management, logistics coordination, staff support, and office welfare.

This position requires a highly organized individual with strong communication skills, attention to detail, and the ability to manage multiple administrative tasks efficiently.

Key Responsibilities

Reception and Front Desk Operations

  • Provide a warm, professional, and welcoming reception to visitors and staff.
  • Receive, log, and distribute all incoming and outgoing correspondence and packages.
  • Ensure telephone calls, emails, and inquiries are handled professionally and forwarded appropriately.
  • Maintain updated front desk resources, forms, manuals, and office handbooks.
  • Act as custodian of office keys for reception, pantry, and kitchen areas.
  • Ensure office equipment is switched off and premises are securely closed.
  • Report faulty equipment and follow up with service providers until resolved.

Office Administration and Facilities Management

  • Supervise office cleaning services and ensure high standards of cleanliness.
  • Coordinate with security personnel to ensure safety protocols are followed.
  • Monitor office inventory and prepare monthly stock and inventory reports.
  • Support timely restocking of office supplies.
  • Prepare invoices and payment requests for utilities and office services.

Administrative and Logistical Support

  • Support organization of meetings, workshops, training sessions, and project events.
  • Coordinate virtual and in-person meetings, including preparation of agendas and minutes.
  • Assist with logistical arrangements for conferences, field activities, and accommodation.
  • Provide support for staff travel arrangements and visitor logistics.
  • Coordinate flight requests with the designated focal person.
  • Support onboarding of new staff and visitors with orientation and documentation.
  • Assist with printing project materials including IDs, QR codes, and IEC materials.
  • Coordinate staff wellness activities and internal engagement initiatives.
  • Perform any other administrative duties assigned by the supervisor.

Qualifications and Experience

  • Bachelor’s Degree in Business Administration, Public Administration, Management, Social Sciences, or a related field.
  • Relevant professional experience in office administration or customer service.
  • Experience working with an international NGO is an added advantage.

  • Strong customer service and interpersonal skills.
  • Excellent organizational and multitasking abilities.
  • High attention to detail and process-oriented mindset.
  • Ability to handle confidential information with discretion.
  • Strong written and spoken English communication skills.
  • Proficiency in Microsoft Office and Google Workspace.
  • Ability to work independently with minimal supervision.
  • Strong coordination and problem-solving skills.
