About the Role

The Danish Refugee Council is seeking a qualified and motivated Human Resource & Administration Assistant to support the HR and Administration Department with routine documentation and day-to-day HR and administrative duties. The role contributes to efficient staff management, compliance, and smooth office operations at field level.

Main Duties and Responsibilities

Human Resources

  • Facilitate orientation sessions for newly hired staff.
  • Ensure employees understand organizational policies, procedures, and benefits.
  • Serve as the first point of contact for employee concerns and inquiries.
  • Mediate minor workplace conflicts and escalate issues when necessary.
  • Maintain employee records including attendance, leave, and payroll inputs.
  • Assist with compliance documentation and HR audits.
  • Monitor health, safety, and labor law compliance at worksites.
  • Prepare certificates of service for exiting staff and letters of undertaking for salary loan processing.
  • Process staff ID cards and maintain the ID tracking system for the location.
  • Maintain an updated staff list for the field location.
  • Manage personnel files and HR correspondence.
  • Monitor casual workers’ contracts and timesheets and follow up on payments.
  • Receive and review casual workers’ payroll before submission for authorization.

Administration

  • Requisition office supplies including stationery, beverages, and cleaning materials.
  • Receive, store, and issue office supplies as required.
  • Submit weekly and monthly reports on office supplies usage and inform management on restocking needs.
  • Support management of the office compound and washrooms in coordination with cleaners.
  • Ensure timely provision of tea and coffee services.
  • Support organization of seminars, meetings, and other work-related events.
  • Take minutes during staff meetings and ensure timely circulation.
  • Receive and guide visitors to the appropriate offices.
  • Maintain accurate filing systems for casual workers, payments, bills, travel authorization forms, and guest travel schedules.
  • Maintain accurate inventories for office consumables, stationery, and residences.
  • Manage security guard attendance lists and ensure timely submission for approval.
  • Support drafting of Recruitment Instruction Forms for casual workers.
  • Perform any other duties assigned by the supervisor.

Qualifications, Skills and Experience

Required

  • Bachelor’s degree in Human Resource Management, Industrial Psychology, Business Administration, or a related field.
  • At least two years of relevant work experience in Human Resources and Administration within the NGO sector.
  • Hands-on experience with Microsoft Office applications.
  • Ability to work under pressure and meet deadlines.
  • Ability to work independently using own initiative.
  • Strong problem-solving and interpersonal skills.
  • Stable, reliable character and strong team spirit.

Desirable

  • Knowledge of Enterprise Resource Planning systems, including Dynamics.
