Habitat for Humanity Uganda (HFHU) is seeking a highly professional, proactive, and detail-oriented Executive Assistant to support the National Director. This role is pivotal in ensuring the smooth operation of executive communications, board coordination, scheduling, and high-level administrative functions within a fast-paced, mission-driven NGO environment.

Key Responsibilities

1. Executive & Administrative Support

  • Manage the National Director’s (ND) daily schedule, meetings, appointments, and travel arrangements.

  • Draft, review, and format emails, reports, briefing materials, and official correspondence.

  • Screen and prioritize emails, phone calls, and requests addressed to the ND.

  • Coordinate external engagements, follow-ups, and action plans related to the ND’s office.

2. Meeting & Event Coordination

  • Organize and coordinate Senior Management Team (SMT) and Board meetings: prepare agendas, take minutes, and ensure follow-up on decisions.

  • Oversee meeting logistics—venues, virtual platforms, transport, and hospitality for stakeholders.

  • Track deliverables and ensure action points from meetings are monitored and completed.

  • Maintain and safeguard confidential records and filing systems.

3. Board & SMT Liaison

  • Act as the administrative point of contact for the Board of Directors.

  • Plan and coordinate quarterly Board meetings, committee meetings, travel logistics, and accommodations.

  • Maintain updated Board documentation, calendars, and official records.

  • Assist in preparing presentations, reports, and board communications.

4. Communication & Information Management

  • Represent the ND’s office with professional communication to internal teams, external stakeholders, and partners.

  • Ensure timely and accurate dissemination of information from the ND’s office to relevant stakeholders.

  • Manage digital and physical files for easy and secure document access.

  • Assist in handling the ND’s social media or public communication platforms when requested.

  • Provide additional administrative and strategic support as assigned.


Qualifications & Experience

Minimum Requirements

  • Bachelor’s Degree in Business Administration, Office Management, Hospitality, or related discipline.

  • Minimum 3 years of experience providing executive support to senior leadership, preferably in a reputable organization.

Preferred Qualifications

  • Experience supporting executive leadership and Board members.

  • Prior work experience in a non-profit, NGO, or donor-funded environment is a strong asset.


Key Competencies & Skills

  • Exceptional organizational and multitasking abilities.

  • Strong written and verbal communication skills.

  • High proficiency in Microsoft Office and digital collaboration tools (e.g., Zoom, Teams, Google Workspace).

  • Ability to manage multiple priorities under pressure while maintaining professionalism.

  • Demonstrated discretion and ability to handle confidential information.

  • Strong interpersonal and stakeholder engagement skills.
