Accounts Assistant – Full-time

Cleopatra Interiors is seeking a proactive and detail-oriented Accounts Assistant to join our team in Kampala, Uganda. The ideal candidate will play a key role in managing daily accounting operations, reconciling accounts, generating financial reports, supporting inventory and payroll management, and handling essential administrative tasks.

Key Responsibilities

1. Financial Management & Bookkeeping

  • Maintain accurate financial records using accounting software like QuickBooks.

  • Record daily transactions: purchases, sales, receipts, payments.

  • Reconcile bank accounts, credit cards, and supplier accounts.

  • Ensure up-to-date general ledger and balance sheets.

2. Accounts Payable & Receivable

  • Manage vendor accounts and timely payments.

  • Create and issue invoices for curtain sales, installations, and custom orders.

  • Track and follow up on outstanding client payments.

3. Inventory & Costing

  • Monitor inventory of raw materials (fabric, rods, accessories).

  • Conduct routine inventory audits and reconciliation.

  • Work with the site team to track job costs and support accurate pricing strategies.

4. Payroll & Compliance

  • Prepare and process employee payroll.

  • Ensure compliance with Ugandan labor laws, taxation, and statutory deductions.

  • Track staff expense claims and process reimbursements.

5. Financial Reporting & Forecasting

  • Prepare monthly, quarterly, and annual financial statements (P&L, balance sheets).

  • Support budgeting and forecasting activities.

  • Offer financial analysis to support business decisions and project profitability.

6. Taxation & Regulatory Compliance

  • Ensure accurate and timely filing of VAT, corporate tax, and licenses.

  • Liaise with external auditors, URA, and relevant authorities.


Administrative Responsibilities

Customer Service & Sales

  • Serve as the first point of contact for shop walk-ins and phone inquiries.

  • Coordinate site visits, prepare quotations, and drive sales initiatives.

  • Process and record customer payments.

Office & Shop Management

  • Oversee shop supplies and cleanliness.

  • Supervise support staff and manage petty cash.

  • Open and close the shop daily.

Documentation & Communication

  • Manage records (both digital and hard copies) for easy retrieval.

  • Draft memos, correspondence, and internal reports.

  • Coordinate communication across departments and with clients.

Project & Site Coordination

  • Mobilize teams for installations and on-site assessments.

  • Track project progress and update directors accordingly.

  • Ensure resources are available for smooth execution of projects.

Debt Management

  • Monitor accounts receivable and actively follow up on late payments.

  • Maintain strong relationships with clients to ensure timely collections.


Qualifications & Requirements

Education & Certifications

  • Bachelor’s degree in Accounting, Finance, or a related field.

  • CPA or ACCA certification is an added advantage.

  • Fresh graduates with strong academic records are encouraged to apply.

Experience

  • 2–4 years of relevant accounting experience.

  • Background in cost accounting or product costing is a strong advantage.

Technical Skills

  • Proficient in QuickBooks and other accounting software.

  • Advanced Microsoft Excel skills (formulas, reporting, analysis).

  • Familiarity with inventory management systems.

Soft Skills

  • Strong attention to detail and analytical thinking.

  • Excellent communication and organizational skills.

  • Ability to multitask, prioritize, and work independently.

  • Strong customer service orientation.


Working Conditions

  • Standard working hours: 8:00 AM – 7:00 PM, Monday to Saturday.

  • Extended hours may be required during financial reporting periods.
